Importing Data into a Church Management Database

One of the questions we get asked often is how to best move data from KidCheck to a ChMS (Church Managment Software). Due to the fact that parents can directly input data into KidCheck, the information in KidCheck can a great resource to help keep the information in your management database up to date.

Here are some of the ways to import data:

Full Database Export
All editions of KidCheck offer a report called "Customer Database Export" in the Database Export Reports category. This report will pull all data from your KidCheck account within a date range that you specify formatted for a .csv (comma separated values) file. Once the report has been generated, export it into .csv format and save it to your desktop or folder of your choice.

Most church management solutions allow you to easily import data from a .csv file. Most likely you'll need to map the fields you wish to import and some solutions will allow you to save the mapping so you can use it again and again without recreating it.

Some solutions like Shelby Systems only allow import from a .txt (text) file. You can easily convert .csv to .txt files by following these simple steps:
  1. Navigate to your CSV file. Do not open the file.
  2. Right-click on the file name. Select "Open With" from the menu that appears. Select Notepad.
  3. Select "File" from the Notepad menu. Select "Save As."
  4. Select "Text Documents" (*.txt) for the "Save As" type.
  5. Type .txt at the end your file's name. Click the "Save" button.
First Time Visitors
KidCheck Standard, Premium, and Campus Editions offer a report for First Time Visitors. This report identifies anyone who checked in kids for the first time within a date range that you specify.
Export this report into .csv format and import new families into your database.

Guardian Account Updates
This report is also part of the Standard, Premium, and Campus Edition report libraries. It will identify anyone who has made a change or update to their account within a date range that you specify. Export this report into .csv format and import it to update family information.
