Automatically be aware of and have check-in adjust when a room reaches capacity.  The "Automatic Check-in Location Load Balancing" feature informs you, right on the check-in screen, when a room has reached capacity. It will also start checking children in to an alternate room you have assigned as well.  This simplifies your work balancing, tracking and adjusting check-in around ratios and capacity.

 

To enable the feature, you will need to setup a group and assign individual locations/rooms under it. The parents will only see the group location (i.e. toddler room).  Running in the background the system knows you have the multiple locations/rooms and automatically handles the load balancing.  You can decide if you want the children checked-in sequentially between the rooms or balanced where children are only assigned to another room when the first one has reached capacity. You determine the capacity caps and decide if you want to continue or stop check-in when capacity is reached. 

 

To enable “Automatic Check-in Load Balancing”:

  • Choose “settings” from the top right and then the “Campuses and Locations” tab
  • Click on the appropriate “campus name”
    • First you’ll set up the group and then the locations associated with that group
  • To set up the group
    • Choose “set up a new check-in location to this campus”
    • Name the group in the “location name” (i.e. 1st grade, Toddler room, etc)
    • For “location type” chose “load balanced location group”
    • Choose “sequential” or “balanced”
    • Ensure “Active” and “Save Changes”
    • You’ll see the group name on the left side of the screen
  • To set up the locations/rooms associated with the group
    • Choose “set up a new check-in location to this campus”
    • Name the first location in the “location name” (i.e. room #104 or overflow room)
    • For “location type” choose “single check-in location”
    • “add location to a group”, pick the group name you want the room/location associated with
    • Input your desired capacity and continue or stop check in preferences
    • Ensure “Active” and “Save Changes”
  • Repeat for as many rooms/locations as you want associated with that group
  • You’ll now see the group name with the location(s) associated underneath
